Booking & Cancellation

Reserving Your Date

A signed agreement and a retainer of fifty percent (50%) of the total quoted amount are required to reserve your event date. Dates are not held without a retainer. The retainer is applied toward your total balance and is non-refundable, as it secures your date exclusively and covers design planning that begins immediately.

Final Balance

The remaining balance is due no later than fourteen (14) days before the event date. Events booked within fourteen days of the event date require payment in full at booking. If the final balance is not received by the due date, Sovren Group reserves the right to release the date and retain the retainer.

Cancellations

Cancellations more than thirty (30) days before the event: the retainer is retained, and no further balance is owed. Cancellations within thirty (30) days of the event: the retainer is retained, and fifty percent (50%) of the remaining balance is due, reflecting materials purchased and dates declined on your behalf. Cancellations within seven (7) days of the event: the full contracted amount is due.

Rescheduling

We understand plans change. One (1) reschedule is permitted at no penalty when requested at least fourteen (14) days before the event, subject to availability, with the new date falling within six (6) months of the original. Your retainer and payments transfer to the new date.

Refunds

Because our work is a custom service — design time, sourced materials, and a reserved date — payments are refundable only as described above. If Sovren Group must cancel an event for reasons within our control, all payments including the retainer are refunded in full. Events affected by circumstances beyond either party's control (severe weather, venue closure, or similar) will be rescheduled per the terms above.

Promotions

Any promotional offer or discount is valid only for the dates, services, and terms stated in that promotion, cannot be combined with other offers, and holds no cash value.

Privacy Policy

What We Collect

When you submit an inquiry through our website, we collect the information you provide: your name, email address, phone number, and details about your event. If you check the mailing list box, we also keep your contact information on the Sovren list.

How We Use It

We use your information to respond to your inquiry, prepare proposals, and deliver our services. If you joined the Sovren list, we may occasionally send event inspiration, offers, and first looks. We do not sell, rent, or trade your personal information to anyone.

Unsubscribing

Every promotional email we send includes a way out. You may remove yourself at any time on our unsubscribe page, or by replying to any of our emails with the word "unsubscribe."

How It's Stored

Inquiry submissions are processed securely by our website host and delivered to our private business inbox. We retain contact records only as long as needed to serve you and maintain our business records. To request a copy or deletion of your information, email booked@bysovren.com.

Payments

When payments are collected, card details are entered and processed on our payment processor's secure, encrypted pages. Sovren Group does not store or transmit your card information on this website.
